Darby Integrative Counseling is seeking a motivated and organized Intake Coordinator / Office Administrator to join our team and help us maintain smooth and efficient operations. You will play a critical role in ensuring that our office runs efficiently and that clients are guided seamlessly through the intake process! This role requires strong organizational skills, a customer-centric approach, and the ability to manage multiple tasks in a fast-paced environment.
Responsibilities:
- Provide outstanding customer service to all of our clients
- Respond to email, phone, and voice mail inquiries by phone call and then follow up by email within 1 business day
- Educate potential clients about evaluation appointments, treatment process, and payment process
- Assign clients to a therapist based on clinical areas of work and scheduling availability
- Document all calls
- Distribute incoming corporate calls appropriately
- Identify potential intake calls that need to be referred out
- Help to improve and implement processes to improve customer and clinician experience
Requirements:
- 2 – 3 years of customer service and marketing experience
- Ability to learn medical records program
- Warm and compassionate personality is a MUST
- Exceptional communication and human relations skills in working with people from different backgrounds
- Professional speech and language
- Detail-oriented and organized A MUST
- Must have their own phone and computer
- Proficiency in Google Workspace Suite of Programs: Google Sheets (including formulas and coding), Google Drive,Google Email etc.
Compensation: Employment position, $18-22 an hour, 10-15 hours per week, Monday-Friday availability – hybrid of in-person/remote work depending on candidate availability (in-office at least one day a week in Silver Spring, MD)
